Five Signs Your Team Has Outgrown Off-the-Shelf Software

Off-the-shelf software is the right starting point for most teams — it's fast to adopt and cheap to try. But there's a point where the workarounds a team builds around a generic tool start costing more, in time and errors, than a purpose-built system would.

Watch for these signals: your team maintains a shadow spreadsheet to track what the software can't; the same manual data re-entry happens between two systems every week; onboarding new staff requires a list of exceptions and workarounds nobody wrote down; and reporting requires exporting to Excel before anyone can actually use the numbers.

None of these are dealbreakers on their own. But together, they usually mean the cost of the workaround has quietly exceeded the cost of building something that fits.
